The purpose of this guide is to explain the administration processes required GuildLink. Before diving in, please take a few minutes to read the concepts of the GuildLink system so that it all makes more sense.

Security Overview

The most important concept to understand is how the security system works The system relies heavily on a security system that is based around the concept of roles. When a new user joins the system we need to assign them rights to the system by adding them as members of those roles. These roles allow us to only let approved users access the system and to ensure that they only see what they should see.

 

For example we have a role named "psladmin" this is used by PSL users to ensure that regular users can't grant access to the system.

 

Suggestion_16x16Only PSL users will belong to the role psladmin.

 

It is also important to understand that a user can belong to many different roles, so that you might have users of the system who can edit SOP content but cannot edit site info. Similarly, only approved PSL staff will belong to the role that allows them to share SOP and Policy content with users.

 

 

Terminology

Member

Where possible the term member refers to PGNZ members. However that term member is pretty generic and is used heavily in computing to refer to people belonging to a group such as a security group. The term user is used to refer to someone who logs into GuildLink. A user belongs to one or more security groups and also belongs to a site (pharmacy).

Site (Pharmacy)

Each Site will have one or more users

User

A unique login for GuildLink. The user is identified by their email address and user name. You an email address Can only exist once. Users can belong to multiple sites.

Role

A collection of users. Roles control what you have access to

Site admin

Each site has an administrator. This user is linked to the site by their email address. They are responsible for adding new users to the system. They have access via a special role to a Site Admin page that lets them add new users.

 

GuildLink Concepts

Each Site has a unique ID. All data is stored in a central database on the internet. The site ID is used to only allow access to data for a specific site. Data is filtered prior to transfer to the users web browser so that they can only see data that belongs to their site.

 

Enrollment

The flow of activity for GuildLink administration can be defined as follows

 

1.A member enrolls a new site

2.The member becomes the site admin by registering that site

3.PSL check the details, add then add the member number and account code. These will be used for billing and reporting.

4.PSL will assign the member some roles

oGuildLink (allows access to GuildLink in general)

oAdminMember (allows this user to administer the site)

oAuditLink (allows access to AuditLink functionality
